Call for Participation


We are very glad to invite you to attend the third NTCIR Workshop Meeting to be held on October 8-10, 2002 at NII, Tokyo. Japan. Please come and present your experimental results and findings, and join the discussion!

The third NTCIR Workshop Meeting is a two and half days meeting. We also have a half day tutorial before the meeting.

DAY-1 (13:30-18:00 Oct.8 ) of the meeting is Open Forum and anyone who is interested in the NTCIR activities, evaluation and research in information retrieval, automatic text summarization and question answering are welcome! It includes an overview of the third NTCIR Workshop and invited talk(s).

DAY-2 & DAY-3 (9:00-18:00 Oct.9-10) are sessions to report out the research results of each active task participant. The participation is restricted to a) the active task participants who submitted results, and b) special participants whose application to attend the meeting are approved by the program committee.

Every active task participating group can present own experimental results and findings either as an "oral presentation" and/or "digital poster". Discussing what and how we shall evaluate and what we learned from the results in an informal atmosphere is one of the attractive experiences we have through the NTCIR Workshop. We do hope you will enjoy the discussion and exchanging the research idea.

Tutorial (9:00-12:00 Oct. 8) includes; introduction for NTCIR and evaluation workshop, information retrieval, automatic text summarization, and question answering. Special attention will be paid to evaluation methods and test collections used in the tasks of the third NTCIR Workshop. Anyone who is interested in these topics are welcome.


1. For Active Task Participants:

1.1 Presentation

Every active participating group is expected to do a presentation at the meeting. Progress after results submission can be included in the presentation.

For the presentation types, there are two types of presentations; "oral presentation" or "digital poster", i.e., a combination of ordinary paper-based poster and/or demonstration. Every active participating group is expected to do a digital poster. For the those who wish to present the material as an oral presentation, please apply when you send the Working Note Papers to the task organizers by Aug.20, 2002. Also if your group can not make presentation in any form please let your task organizers know by Aug. 31, 2002.

Oral Presentation

An oral presentation is an ordinary conference-style presentation. The length of the presentation will be decided based on the number of presentations.A projector which can be connected to a PC and an overhead projector will be available. Applications and their working note papers will be reviewed and decision will be done by the program committee.

Digital Poster

We organize digital poster sessions that are combination of ordinary poster sessions and/or PC-based demonstration (or presentation) for all active task participants (CLIR, PATENT, QAC, TSC and WEB). You can demonstrate your system and interactive presentation by using your PC. We also welcome paper-based ordinary posters for this session. Anyone who will do digital poster can do a short presentation (about 1-2 minutes), in which the author scan appeal their main achievements and unique aspects, then invite the audience to their digital posters.

Followings are tentative instructions for the poster session.

A space for putting A0 size poster (WxH 840x1188mm) will be provided for the display.
  1. A desk and electric power plug (100V/50Hz) will be also provided for PC presentation if necessary.
  2. Digital poster session will be held at the 2nd and 3rd day of the workshop. Just before the session, we plan to have a short presentation session (1-2 min. for each poster) for assisting the audience to select posters to see.
  3. Rooms for the digital poster session opens at 9:30 AM on the 1st day and closes at 7:00 PM on the 3rd day. You can use the poster session rooms for the presentation throughout the entire workshop time. The secretariat will not be liable for to lost any posters and PC.
For allocating the amount of the space based on the number of the presentaters,we would like to know the number of presentations and what kind of facilities are needed for that. Since we can not arrange PC and monitors at all for this purpose, we suggest you to bring notebook PC with large display.

1.2 Paper Preparation

Every active participant who conducted the task(s) set by the third NTCIR Workshop must write and submit the paper regardless of the attendance of the Workshop meeting. Progress after results submission can be included in the paper. Please include failure analysis. No longer than 8 pages per task. For the detailed instruction and format, please consult here.

Important Dates:
Aug. 20, 2002: Deadline for Paper for the Working Note-type Proceedings, which will be printed and delivered to the participants of the DAY-2&DAY-3 of the Workshop Meeting.
Aug. 20, 2002: Application Due for Oral Presentation
Sept. 20, 2002: Notification of the Acceptance for oral presentation
Sept. 30, 2002: Registration closed. Please register by this day.

2. Application to be Special Participants.

If you are not active task participants but researchers of the topics related to the third NTCIR Workshop and wish to attend the sessions in DAY-2 and DAY-3, Please apply through the online registration form. Please describe the reason for the application in relation to your research and/or experience.The application will be reviewed by the program committee of the third NTCIR Workshop.

Sept. 11, 2002: Notification of the Approval of the Application done by Sept. 2.
Sept. 24, 2002: Application Deadline for Special Participants-2
Oct. 1, 2002
: Notification of the Approval of the Application done by Sept.24.

Notes:
The payment by a credit card that you will given through the online registration will be activated and debuted only after your application is approved. When your application is not approved, the payment information by a credit card will be deleted and won't be debuted.

3. General Information for Every Participants

Registration:
Online Registration Forms will be available shortly. When it is available,we will announce to ntc-workshop and ntcir. Every types of participants including active task participants, general participants for tutorial and/or DAY-1 only, special participants are asked to register.

Fee:
DAY-1: Free
DAY-2 & DAY-3: 10000 Japanese Yen (8000 Japanese Yen for a student)
Tutorial: Free

Participation Guideline:

DAY-1: OPEN. Anyone who are interested in the topics are welcome.

DAY-2 & DAY-3: SEMI-OPEN (except the session for QAC)
- Members of every active participating groups that submitted the results of one or more tasks can attend every sessions regardless of the participation to the particular task.
- Special participants whose application to attend the meeting are approved can attend any sessions except QAC.

Tutorial: OPEN. Anyone who are interested in the topics are welcome.
- Participation is not mandatory for the task participants though new comers to the NTCIR are recommended to attend.
- Participation to the tutorial is mandatory for the special participants.
