Instructions for Digital poster


As we announced in the Call for Participation, we organize digital poster sessions that are combination
of ordinary poster sessions and/or PC-based demonstration (or presentation) for all active task
participants (CLIR, PATENT, QAC, TSC and WEB).
You can demonstrate your system and interactive presentation by using your PC.

Every active task participating group has to make a presentation at digital poster session
irrespective of oral presentation. If you participated more than one task, please prepare
one presentation for each task.

1. Digital Poster Session
The Digital Poster session will be divided to two groups.

Group A:
Web, Patent and CLIR
Session time: 16:00-20:00, October 9, Digital Poster Room A (ConferenceRoom on the 2nd floor)

Group B:
QAC and TSC2
Session time: 11:00-14:00, October 10, Digital Poster Rom B (Room 101-103 on the 1st floor)
Each group is requested to assign a presenter to be present next to the poster during the session
time for questions and discussion. Poster display and presentation alone are available at other meeting times.

2. Setting and Removing
Each group is responsible for setting up and removing its poster according to the following schedule;
Group A
Presentation room: Conference room on 2nd floor
Discussion Date & Time: 16:00-20:00, Oct. 9
Setting up: 15:00-19:00, Oct. 8
Removing: 17:00-19:00, Oct. 10
Group B
Presentation room: Room 101-103 on 1st floor
Discussion Date & Time: 11:00-14:00, Oct. 10
Setting up: 11:00-19:00, Oct. 9
Removing: 17:00-19:00, Oct. 10
You are requested to be present at your poster during the Discussion Time, for questions and discussion.
The secretariat will not assume responsibility for possible loss of posters left on the board after the removal time.

3. Spaces
A special poster board with a poster number will be provided for each presentation.
The number of your poster will be decided by the Secretariat.
Space for each presentation:
1. Poster board: width 90cm x height 140cm
2. Table in front of the board: width 90cm x depth 60cm x height 70cm

4. Presentations
Posters can be displayed on the board using pushpins only. No tape or glue can be used.
Pins will be provided by the Secretariat.
Demonstration with personal computers is welcomed.
If you plan to make a demonstration using a computer, please inform us of the number of
necessary plugs and whether you will need internet connection, using the following form. (electrical power plug 100V/50Hz)
You should prepare all the equipment, including computers for demonstration individually.
The Secretariat will prepare the network systems only.
Please bring posters and other demonstration equipment with you.
If you need to send them to the workshop site beforehand, please inform us in advance
using the following form and make sure the equipment arrives during the following time:

5. Boosting
Anyone who will do digital poster can do a Booster (short presentation, 1minute for each),
in which the authors can appeal their main achievements and unique aspects, then invite
the audience to their digital posters.

Boosters will be held during the first 30 minutes of each Digital Poster Session.
It is not compulsory, but we wish many participants join it. Those who will join it should send
the following form.
*Presentation material for boosting: one sheet for the Over Head only.

6. Others
  1. If you have any requests, please contact us using the following form.
    eg.; please place our presentation next to presentation xxx, because the two
    presentations belong to the same group.
  2. Poster allocation will be announced on the web site after October 1, 2002.
    You can also find it on the workshop site.

Teams wishing to request the following items should fill in this form and
send it to ntc-poster ( attn: Ms Tashiro ) by September 24.

Teams who do not submit this form will be assumed to have no special
requests. Please check appropriate items in the form.
