[ntcir:165] announcement of NTCIR test collection




Dear users of NTCIR Test Collection,

[Apologies if you receive this more than once]

1)      Submission of a report on study results
As regards research activities by making use of the data, for which a user
agreement of the NTCIR Test Collection (for research purpose use) (Note 1)
is signed, you are required to submit a presented paper to National
Institute of Informatics (NII).

In accordance with what is set forth under the memorandum, please supply
the following information when submitting a paper you presented this fiscal
year:

         Items related to the publication (the name of the publication,
volume/number, pages, publisher, date of publication, and others)
         Copies of the presented paper

If you did not present a paper, we would still like to ask you to report on
results of your study by making use of the test collection.  You are free
to use any format and your report may be accepted by either e-mail or
regular mail.

Getting hold of the presentation of results of your study related to the
NTCIR and publishing them to the public
(http://research.nii.ac.jp/ntcir/paper1-ja.html) contributes to publicizing
the NTCIR and their application to research activities further.  Also for
those who used the data licensed in accordance with not the memorandum, but
an "application for use" (Note 2), we would appreciate it if you understand
the aforementioned purpose and report on results of study you achieved by
making use of the test collection.  Your cooperation in this matter will be
much appreciated.

2)      Return of unused data

If you do not intend to continue to use the licensed test collection, NII
advises that you return it.

The reason is that if you do not use the data you obtained for the purpose
of your study as you had originally intended and they are left unused for a
long period of time, it could obscure the way of obtaining, or managing
them.  In consequence, the user may breach the memorandum unintentionally,
or use them in an inappropriate manner.  In order to prevent these from
occurring, we believe it is advisable that you return the data in question
if you have no intention of using them.  Your understanding and cooperation
in this matter will be much appreciated.

3)      Changes of contact information, organization you belong to, etc.

If there have been any changes to information you supplied in the
memorandum or application for use you submitted, in other words, contact
information of the one who uses the data, or organization you belong to,
please notify us of it.

In the case in which a student serves as a contact person and uses the data
in particular, please notify us of his/her new contact information upon
graduation.
