Dear NTCIR Test Collection Users,

The end of the fiscal year in Japan is March.
So this is the time that we shall summarize the
research outcomes using NTCIR collections for
this fiscal year.



(1) "Research Activities Report" and "Publication Report"

For those who use/used the NTCIR test collections/data
sets, please download the forms for the following a) and b),
complete, and return to the NTCIR Project Office, at
"ntc-secretariat (at) nii.ac.jp" by EMAIL as an attachment.

a) “Research activities report", and
b) "Publication report”


a) "Research Activities Report" form ;

If you have no publication, please summarize what
kind of research you have done in this fiscal year
using the NTCIR test collections/data sets.

The file name shall be:
report-ntcX[taskname]-2005-[yourname].doc

where, X: 1,2,3,4 or 5
taskname: -, clir, clqa, patent, qa, summ, or web
yourname: LastName+InitialofGivenName(s)

Please submit this by the end of each fiscal year, i.e.
by the end of March.


b) "Publication Report” form ;

The instruction can be found at,

Please submit this when you publish research outcomes
using the NTCIR Test Collections/Data Sets


These reports are helpful to show the importance
of NTCIR Project. Your cooperation is inevitable.




(2) Changes of contact information, affiliation, etc.

If the contact information registered as NTCIR users or
your affiliation was/will be changed, please advise the
change to us soon.

Especially, if the registered "contact person" was a student,
please pay attention of the graduation of the student.

NTCIRプロジェクトテストコレクション使用者の皆様

今年度も、いよいよあと少しです。研究成果をまとめる
時期となりました。


（１） 研究成果報告書・関連発表論文報告

今年度の研究成果の報告をお願いします。下記の２つの報告書を
Emailで添付ファイルとして、NTCIR事務局ntc-secretariat@xxxxxxxxx
へお送りください。


a) 「研究活動報告書」
http://research.nii.ac.jp/ntcir/permission/report-researchpurpose.doc

ファイル名は、次のようにしてください。
report-ntcX[taskname]-2005-[name].doc
ただし、
X=１〜4　
taskname=clir, patent, qa, summ, web, etc

論文発表等がない場合も、今年度は、どのような研究に
テストコレクションを使用したかをお書きください。

この報告書は、お手数ですが、各年度末に、ご提出ください



b) 「発表論文報告」
書式：http://research.nii.ac.jp/ntcir/ntcir-bib5.xls

書式への記入の仕方は、「NTCIR関連発表論文報告ページ」
http://research.nii.ac.jp/ntcir/paper2-ja.html　をご参照ください。

学会やジャーナル、単行書などの刊行物として研究成果を
発表したときに、ご報告ください。未報告のものがござい
ましたら、年度にかかわらず、古いものもあわせて、同一の
書式で、ご報告ください。

※これらの報告書は、NTCIRプロジェクトの成果として
たいへん重要なものです。ぜひ、ご協力ください。




(２） 使用者事項の変更について

提出された使用申込書、利用申請書、覚書等の記入事項
（データ使用者の連絡先、所属等）が変更した場合、あるいは
これから変更する予定がある場合は、速やかに
NTCIR事務局までご連絡ください

学生さんが連絡役の場合は、卒業時に、引継ぎを
確実にお願いいたします。
