Paper Submission Instructions
Poster and Demo Sessions
Each NTCIR-19 participating team is expected to give a poster presentation at the NTCIR-19 conference for each task they participate in (not for each subtask).
Oral Presentations
In addition to the poster presentation, a few participants for each task will be selected to give an oral presentation of their work at the NTCIR-19 Conference. The selected participants will be contacted by the task organizers.
Paper for the Proceedings
See the instructions below.
Each team is required to write a paper for each task that it participated in (not for each subtask). For example, if you participated in the FinArg-3 task and the Lifelog-7 task, you need to write two papers. Your papers will be included in the NTCIR-19 Proceedings, which will be publicly available online.

What You Submit
For the proceedings NTCIR-19, you need to submit: (1) Paper
draft, (2) Final camera-ready copy, and (3) Publishing License Agreement.
- For (1) and (2): Submission must be made through
NTCIR-19 submission system. The
recommended submission format is 'NTCIR sample'. Please refer to it
here.
- For (3): Please send it to NTCIR Office by e-mail.
(1) Draft Paper (Due: September 1, 2026)
A draft paper is a paper that describes your work just like an
ordinary academic paper. It must be as complete as possible
(including references).
Checklist before Submission
- Does your paper title include the task name?
("Task name" means either AEOLLM-2, AgenticInstruction, CAMEO,
DAGRI, FEHU, FinArg-3, HIDDEN-RAD2, Lifelog-7, MedNLP-CALL,
ModelRetrieval, R2C2, RegCom, SciClaimEval or ToT. )
- Does your paper refer to the task overview paper?
(the
proceedings title is “The NTCIR-19 Conference")
- Does your paper have unique fields “Team Name” and “Subtasks"
after “Keywords”, before “1. Introduction”
- Does your “Subtasks” field contain all the subtasks that you
participated in?
(2) Camera-ready Copy (Due: November 1, 2026)
- After revision and enhancement, the final camera-ready copy
must be submitted
no later than November 1, 2026 in PDF.
- Please submit the camera-ready version of your paper by
updating your draft paper submitted at EasyChair. More
specifically, click on “Update file” link at your paper page and
upload the camera-ready version.
(3) NTCIR Conference Publishing License Agreement (Due: November 1, 2026)
Please use the form we provide for the Proceedings NTCIR-19: [PDF].
(How to write 'Date' column: e.g., Nov/1/2026 (month/day/year))
Please fill in the form and submit it to us electronically (a scanned file with signature) by November 1, 2026.

Where to Submit the Paper
We are using the EasyChair conference management system to track
submissions for the conference. Please submit your paper through
the following NTCIR-19 submission system, and select an
appropriate track for your participating task when you
submit a paper:

Note that tracks in EasyChair are equivalent to tasks in
NTCIR.

Style File and Template
Submitted papers should be in the official ACM Master article template and must be submitted as pdf files.

*Note: To copy the project, please ensure you are logged into your Overleaf account. Then, click on the "File" in the top-left corner and select "Make a copy".
Notes
Please pay attention to the following details:
*Embedding Fonts:
The submitted PDF files must have all necessary fonts embedded in the text and figures. Please double-check the fonts used in figures.
*Please refer to the Task Name in the Title:
Task Name should be clearly shown in the title. "Task Name"
means either of AEOLLM-2, AgenticInstruction, CAMEO, DAGRI,
FEHU, FinArg-3, HIDDEN-RAD2, Lifelog-7, MedNLP-CALL,
ModelRetrieval, R2C2, RegCom, SciClaimEval or ToT.

*About the Title:
- The first letter in a sentence: capitalize the first letter of
a sentence.
- The Subtitle: the subtitle set apart by a colon (‘:’).
*Unique fields to NTCIR:
Please insert the information below between 'Keywords' and '1.
Introduction'.
- 'Team Name'
Your official team name. This is usually the prefix of your run
names.
Ex. [Forst] [NEXTI]
- 'Subtasks'
List all the subtasks that you participated in, with the language
information.
Ex. [Deep Research Evaluation]

The ACM template gives instructions to leave a blank text box at the bottom of the left column of the first page for the copyright notice.
Regardless of this instruction, no blank text box or no copyright notice is needed when you write a paper for the NTCIR-19 Proceedings. Please ignore it.
The NTCIR Samples shown above have already removed the copyright block, so we recommend using it.
*NTCIR publications are not peer-reviewed:
Please do NOT anonymize or exclude the author information in
your paper.
Page Limit
Each paper must not exceed 8 pages, including references.
Note

Task overview manuscripts will be partially available
by November 1, 2026.
Please cite the overview paper of the task that you participated in, and do not repeat the information provided in the overview paper. That is, please avoid redundancy. - Papers in the Proceedings will also be published on the Web in the form of PDF files.
